Why we use it and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries and preparing, producing and supplying an order. | Taking steps at your request before entering a contract and performing a contract. |
| Operating the website, preventing misuse, securing customer photographs and administering the staff print room. | Our legitimate interests in running and protecting Ravenworks, balanced against your rights. |
| Keeping records required for tax, accounting, consumer protection or dispute handling. | Legal obligation and, where applicable, our legitimate interests in establishing or defending legal claims. |
We do not use uploaded photographs for advertising, AI training or unrelated products. We do not sell customer information or use it for automated decision-making.
Photographs of other people
The person uploading a photograph must have permission or another lawful right to provide it for manufacture. If a photograph includes a child, the uploader must be the parent or guardian, or have their authority. The service is intended for adults and is not designed for children to submit orders themselves.
Who we share information with
Information is available only to authorised Ravenworks staff and service providers needed to operate the website, secure it, store order files and send operational notifications. Our current website and staff authentication are provided through OpenAI Sites and its hosting infrastructure. We may also disclose information where the law requires it or where necessary to establish or defend legal rights.
When email notifications or online payments are enabled, the relevant email and payment providers will receive only the information required to provide those services. This notice will be updated before live online payments begin.
How long we keep it
Uploaded photographs and print artwork are retained while an order is active and for a limited period afterwards where reprinting or resolving a problem may reasonably be needed. Our operational target is to remove photo files within 90 days after an order is completed or cancelled, unless a longer period is required to deal with a dispute or legal claim.
Order, communication and financial records may be kept for the period required by tax, accounting and consumer law. Technical security records are retained only for as long as reasonably required to protect the service.
International processing
Some service providers may process information outside the United Kingdom. Where this happens, we require an appropriate UK data-protection safeguard, such as an adequacy regulation or approved contractual protections.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, receive a portable copy, or object to particular uses. To exercise a right, contact ravenworks3d@gmail.com. We may need to confirm your identity and locate the relevant order.
You can also complain to the Information Commissioner’s Office. We would appreciate the chance to address your concern first.
Cookies and similar technologies
We do not currently use advertising or analytics cookies. The hosting and staff sign-in systems may use cookies or similar storage that are strictly necessary for security, fraud prevention, session handling and authorised staff access. These cannot be switched off through the website without preventing those functions from working.
If Ravenworks later adds analytics, advertising or another non-essential technology, it will remain disabled until an appropriate consent choice is provided, and this notice will be updated.
Security and changes
Customer photographs and print files are held in private storage and accessed through server-side staff controls. We use access restrictions, validation and other proportionate safeguards, but no online system can guarantee absolute security.
We may update this notice when the ordering, payment or account services change. The current version will remain available on this page.
